AI Systems, Zoho & Automation Specialist

Remote · Part-time contract · Approximately 15–25 hours/week initially

Location: Remote within Latin America. Candidates based in Panama are preferred, but strong candidates elsewhere in Latin America are encouraged to apply.

Philip James Realty Corp. and The Panama Link are building an unusually broad technology and data ecosystem for a real-estate brokerage: AI-assisted knowledge retrieval, CRM and website automations, WhatsApp lead handling, property and public-registry data products, listing workflows, reporting, content production, and internal decision-support tools.

We are looking for a hands-on AI systems, Zoho, and automation specialist who can turn these projects into reliable, connected workflows. This is neither a pure prompt-engineering role nor a pure Zoho-administrator role. You should be comfortable designing AI-enabled systems, improving Zoho workflows, writing or reviewing code, integrating APIs, handling imperfect business data, and documenting systems so other people can operate them.

What you will do

• Design and ship AI-enabled workflows using LLMs, RAG, agents, tool calling, and MCP where they are genuinely useful.
• Connect websites, CRM, WhatsApp/Kapso, Zoho applications, data stores, documents, and external APIs.
• Build or improve Python/TypeScript services, scripts, webhooks, and automations with logging, retries, idempotency, permissions, and safe human-approval steps.
• Improve Zoho CRM and related Zoho One workflows using Deluge, Creator, Flow, Recruit, Books, Analytics, WorkDrive, or other relevant applications.
• Evaluate AI outputs and retrieval quality instead of judging systems only from successful demos.
• Identify high-value automation opportunities across sales, lead management, property data, reporting, marketing, and internal operations.
• Work alongside existing team members without disrupting live operations.
• Produce concise documentation, implementation notes, and clear asynchronous status updates.

Required experience

• Strong hands-on experience building software, automation, data, or AI systems that real users depend on.
• Practical experience with RAG, LLM agents, MCP/tool calling, vector search, AI evaluations, or production model integrations.
• Working hands-on experience with Zoho CRM and at least one of Deluge, Creator, Flow, Recruit, Books, Analytics, WorkDrive, or another Zoho One application. Exceptional AI engineers with less Zoho experience may still qualify if they demonstrate a credible, safe learning plan.
• Proficiency in Python or TypeScript/JavaScript and confidence with REST APIs, JSON, webhooks, OAuth, and SQL.
• Strong written and spoken English. You must be able to explain technical issues clearly to a non-technical decision-maker and document systems for the team.
• Ability to explain failures, limitations, monitoring, costs, and security—not only successful output.
• Willingness to show and explain work you personally built. Private projects may be demonstrated by screen share.

Preferred, not mandatory

• Broader Zoho One experience, especially Creator, Recruit, Books, Analytics, WorkDrive, Flow, Canvas, or Deluge.
• WhatsApp/Kapso, n8n, Vercel, Cloudflare, FastAPI, Next.js, or similar platforms.
• Real estate, PropTech, CRM operations, document automation, or data-quality work.
• Spanish is helpful but of minor importance.

What success looks like in the first 90 days

• Understand the current systems and team ownership without disrupting production.
• Select one high-value workflow and ship a reliable improvement with tests/evaluations, logs, documentation, and a human-review path.
• Integrate that workflow with the relevant Zoho or other operating system.
• Identify the next two automation opportunities based on business value, risk, and effort.
