Business Need / Purpose of Role:

The Disbursement Accounts (DA) Clerk reporting to the DA Supervisor is primarily responsible for overviewing and controlling Quality and dispatch activities, ensuring standardized processes and procedures across multiple locations, in accordance with Group Standards.

 

The ideal candidate will have a strong understanding of invoicing processes, client documentation requirements, and coordination with internal and external stakeholders.

 

Objectives & Measurement – Key Responsibilities:

 

  • Prepare, validate, and issue invoices for port calls and service deliveries in accordance with contract terms and client-specific templates. 
  • Cross-verify operational data, third-party vendor charges, and documentation to ensure billing accuracy. 
  • Track and manage invoice submissions and follow-up logs to ensure timely billing cycles. 
  • Liaise with operations, finance, and client teams to clarify discrepancies and ensure supporting documents are complete. 
  • Maintain updated billing trackers and ensure compliance with client-specific invoicing SOPs. 
  • Respond promptly to client queries or documentation requests related to invoicing, ensuring adherence to timelines and avoiding penalties associated with delays. 
  • Assist in reconciliations, credit notes, and resubmission processes as required. 

 

Knowledge, Skills, and Abilities:

 

  • Knowledge of Port Operations and Port Agency services
  • Knowledge of Shipping documentation i.e., Bill of Lading (BOL)
  • Ability to work independently with limited supervision, multitask and possess strong initiative, exercise independent judgment within established systems and procedures
  • Ability to prioritize work and handle multiple competing priorities
  • Ability to balance multiple tasks, changing priorities & operate within a deadline-oriented environment
  • Ability to think logically, establish and follow procedures, instructions and make sound decisions
  • Possess organizational and time management skills with ability to prioritize, be detail oriented and results driven
  • Attention to detail with a high level of accuracy
  • Strong interpersonal skills including excellent verbal and written communication skills
  • Excellent customer service and communication skills, including strong verbal and listening skills
  • Must possess an advanced proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook 
  • Bilingual in English and Spanish (written, verbal, reading) required and value Portuguese a plus.


Education, Qualifications, Certifications, and Licenses:

 

  • High School Diploma or GED equivalent required.
  • Associate's and/or Bachelor’s Degree in Accounting, Finance, Business Administration or a related major in a public or accredited private academic institution desired, but not required.
  • Previous experience in Shipping, Freight Forwarding, or Transportation/Logistics preferred, but not required.
  • Prior experience in client billing portals, ERP systems, or documentation workflows is a plus. 
  • 1-3 years of experience in invoicing, billing, or finance operations-preferably in maritime or logistics.
  • A foundational knowledge of Port Operations
