Position: Operations coordinator

The Operations Coordinator supports the day-to-day delivery of centre operations and teacher support, helping to maintain service quality, operational efficiency, and platform compliance. This role works closely with operations, academic, and central teams to support independent contractors in using EF’s online scheduling system, virtual classroom, and related tools effectively.

 

This is a hands-on role within a fast-paced environment where flexibility, initiative, and a strong service mindset are essential. The Operations Coordinator will contribute to process improvements, teacher communications, onboarding resources, and operational reporting, while helping to ensure smooth local operations for the Teach Online Panama team. Responsibilities
  • Working with academic team members to compose reference materials for all contractors about students, their expectations, teaching tools and classroom functions

  • Working with the team members and central services to create platform introduction material to make new contractors aware of the “how to’s” of scheduling on our platform, as well as the various online tools featured in our virtual classroom.

  • Provide day-to-day support for teacher enquiries, including responding directly and escalating issues where needed.

  • Support independent contractors in becoming familiar with the online scheduling and invoicing platform, virtual classroom, and related tools.

  • Contribute to teacher platform introduction, guidance, and reference materials in partnership with academic and central teams.

  • Create and update teacher communications, including newsletters, service updates, and client feedback.

  • Monitor service-related data to identify trends, issues, and opportunities for operational improvement.

  • Conduct proactive outreach to teachers by email and phone when required.

  • Prepare and host webinars or engagement sessions related to platform tools, classroom functions, and operational updates.

  • Draft verification letters and other routine correspondence upon request.

  • Ensure teacher profiles remain compliant with platform requirements.

  • Maintain accurate records and data using systems such as Salesforce, Tableau, Adobe Sign, Jira, and Microsoft Office.

  • Support invoice review, reporting, and other administrative or operational tasks.

  • Assist with activities, and other cross-functional projects.

 

Essential Requirements

 

  • University degree.

  • C1-level English proficiency with excellent written and verbal communication skills.

  • Strong attention to detail 

  • Ability to adapt quickly, manage changing priorities, and take a hands-on, solution-focused approach.

  • Confidence working across global teams and supporting a fast-growing, evolving operation.

 

Preferred but not required
  • Past ESL teaching experience.

  • Past experience with remote workers and/or independent contractors.

  • Past experience with contract related matters and/or Customer Service responsibilities.
